Description Crain\u2019s Chicago Business is seeking an Event and Marketing Specialist to be part of the events team. The Event and Marketing Specialist will assist the events team in executing 15-20 business events over the calendar year inclusive of planning and coordination of event logistics,tracking and assisting with registration, promotion, and leading on-site at events with set up and tear down. Event and Marketing Specialist is a salaried, full-time position and this role will require a 40 hour or more work week and is benefit eligible. The incumbent must be able to work onsite during standard and non-standard work hours as needed in our downtown Chicago office and event locations, which are primarily held in the downtown area as well. During event days, work hours may include a required start time of 5:00am during weekdays and\/or late afternoonor evening set-ups, and no weekends are required. Responsibilities Support Senior Event Planner in 15-20 face-to-face events with attendee count ranging from 50- 800, including on-site set-up, registration, attendee and sponsor assistance and break down of event (Legacy events) Responsible for on-site execution and coordination (including AV script, seating, overall flow, crew management, etc.) Take a key role in managing partner\/vendor relationships for the team (venues, caterers, InPrint, AV -Rentcom, Encore, PSAV, DMP, SpotHero, conferences I\/O, Cvent, etc.)\u2013 includes negotiations for best rates and pricing Lead event logistics for legacy events inclusive of menu selection, coordinating with caterer(s), on-site set-up, A\/V, registration, attendee assistance and break down of event Designing and executing event program presentations; copy, edit and proofevent materials including sales collateral, sponsor post-event presentations, signage, print and e-blast promotions (Legacy\/CA) Utilize data management system to oversee and coordinate event e-blast schedules by monitoring promotional lists, open rates and total audience counts Manage e-blast social media schedules and post-event guest surveys (Legacy\/CA) Manage database and development updates Support marketing schedule and necessary sales calls to drive attendee revenue and meet goals (Legacy\/CA) Assist with venue sourcing and RFPs Plan and execute invite-only events for senior Crain executives and key clients including but not limited to room reservations, catering menus, coordinating audio visual needs, managing attendee lists, etc. Work closely with Events Team in preparation of all event materials Requirements Basic Qualifications Bachelor\u2019s degree in Hospitality, Communications, Marketing, Advertising or a related Experience in marketing communications and planning, coordinating and executing corporate events Minimum of 2-year work experience in a professional office setting Basic knowledge of Adobe Creative Cloud (InDesign, Photoshop and Illustrator) Proficient knowledge of MS Office (Excel, PowerPoint, Word) Highly effective written and verbal communication skills Effectively able to multi-task, be detail oriented, meet deadlines and maintain a professional demeanor Ability to work as a team player and collaborate in a cross-team environment Creative thinker and problem-solver, helping team come up with innovative ideas Poised and confident manner as position interacts with senior level executives Exercises good judgment and is able to work independently within specific parameters\/guidelines to support the execution of activities Effective at approaching old processes from new angles to develop greater efficiencies and enhanced results Must be able to lift\/carry up to 50 lbs.
